Hand off a creator project someone else can reopen.

Sending the final video or image is different from handing over a project that can be edited again. Define what the recipient needs, collect the necessary assets, and check the package away from your usual workspace. This guide uses Adobe Premiere documentation as one example of application-specific collection tools.

1. Define what the recipient needs to do

Ask whether the recipient only needs to view the output, publish it, make small text changes, or continue editing the source project. Record the expected application and version, the final deliverables, and the parts that must remain editable. Do not assume a flattened export satisfies an editable-project request.

Keep the handoff tied to the approved brief and asset permissions. A font, stock file, or third-party template may require the recipient’s own access or license. Record the requirement and official source instead of redistributing every file merely because it is present in your working folder.

2. Use the application’s documented collection route

Adobe documents Premiere’s Project Manager for selecting sequences and collecting used footage to a new location. Its transfer guidance says to keep the resulting folder structure intact when moving it to another computer. Follow the instructions for the installed version and the chosen collection options.

Work from a copy and name the package clearly. Avoid manually gathering only the files you remember using: an editing project can depend on media outside its own folder. A successful copy operation is the start of a handoff check, not proof that every dependency needed for future editing is included.

3. Inspect options that change what is retained

Premiere’s documentation distinguishes collection from consolidation and transcoding. It also describes options to exclude unused clips, retain extra frames around edits, and convert linked After Effects compositions into flattened clips. Those choices affect what the recipient receives and can change later.

Choose options according to the agreed task. A playable flattened clip does not offer the same editing flexibility as its source composition. Keep an explicit note when material is excluded or converted, and verify that the recipient understands the limitation before treating the package as an unrestricted editable archive.

4. Include a short handoff note

ATN suggests a plain-language note that lets the next person begin without reconstructing the project from filenames. Keep it with the package and label the intended starting file.

A practical project handoff note
CheckWhat to record
Start hereExact project filename, application, and version.
Approved outputThe delivery file and approval reference.
Included assetsMedia, references, and supporting documents supplied.
External requirementsFonts, plugins, licenses, or accounts needed separately.
Known limitsExcluded material, converted elements, and open questions.

Do not include passwords or unrelated customer records. Share only the material the recipient is authorized to receive, through the agreed delivery route.

5. Verify the package in its destination context

Open the copied package in a separate location or have the authorized recipient test it on the intended setup. Check for missing media, substituted fonts, unavailable effects, and incorrect versions. Compare a short output with the approved reference rather than assuming that a project opening without an error is sufficient.

Record the test result and resolve gaps before calling the handoff complete. Keep the original project until the agreed delivery and retention process is satisfied. If an element cannot be transferred, explain exactly what remains usable and what requires another step; do not silently mark a partial package complete.

PUT IT INTO PRACTICE

Your quick checklist

  • The recipient’s intended task is documented.
  • The project and required assets are collected deliberately.
  • Exclusions and conversions are understood.
  • A starting file and dependency note are included.
  • The copied package has been checked in its destination context.

Adobe supports the Premiere collection and conversion examples. The handoff note, permissions inventory, and reopening checks are ATN editorial guidance. This is not a software test or a determination of rights under a particular asset license.
