1. Decide what the copy must help you do
Write down the purpose before selecting every available category. You may need a record of an old project, a copy of contacts, or material to evaluate before moving services. Those goals can require different file types and different levels of completeness.
Google Takeout lets users select the products included in an export, with additional selection options for some products. Google also makes clear that downloading the data does not delete it from its servers. Keep the preservation task separate from cancellation or account closure. If you are planning a move, do not assume that having an archive means another service can import it successfully.

2. Choose a destination you can control
Check available storage and who can access the chosen location. An export may gather information that was previously scattered across several services, so placing it in a broadly shared folder deserves deliberate consideration. Use an account and device you control for the task.
ATN suggests a private working folder with a clear service name and request date. Keep any shared project folder separate from the complete account archive. If someone needs one document, provide only that authorized document through the agreed route rather than casually sharing the whole export. Record where the original download lives so you do not later mistake an edited copy for the delivered archive.
3. Record the request and delivery details
Save a brief note of the selected categories, chosen format, destination, and request date. Google warns that changes between an export request and archive creation may not be included, and a large export may arrive as multiple archive files. These limits matter when you are checking whether the material matches your goal.
Follow the service’s current instructions for retrieving the files. If a delivery link has a time limit, record it from the actual notice and complete the download while it is available. Do not invent a completion date based on when you clicked the request button. Keep a failed or incomplete download marked pending until you have reviewed the result.

4. Check that the copy is usable
Inventory the delivered files before changing them. Open representative items from each category that matters to your purpose, using appropriate software, and inspect the account identity and date context. A folder with a plausible name is not enough to establish that it contains the expected material.

Keep uncertainty specific: “messages from this period not located” is more actionable than a blanket statement that everything is backed up.
5. Finish preservation before making other decisions
Record the actual review date, the material checked, and any gaps that remain. Keep the export and its short inventory together. If the purpose was migration, separately test the destination’s import process with appropriate data and permissions; a successful download is not proof of a successful transfer.
If you later close the source account, ensure the retained copy will remain accessible independently. Google specifically warns that an archive stored in the same Google Drive account must be moved elsewhere before that account is deleted. Review temporary downloads and unnecessary duplicates after your intended copy is verified. Keep retention decisions tied to your needs rather than deleting files merely to make the folder look tidy.
